Club Seal Application

Club Directors-

Last email from me (today), I promise. 

Below please find the link to apply for the 2013-14 Club Seal. The Club Seal program is for those clubs who wish to be identified on the Badger Region website (and in their own materials) for running their club as a registered business entity and for following proper policies and procedures. 

Gold Seal and Silver Seal clubs will be identified with a seal next to their name on the Region's club listing, will receive a seal for their own literature, and will receive a banner to promote their club at events or facilities.

In an email sent out on Aug. 16, 2013 at 12:04 p.m., the 2013-14 Tryout Policy and Commitment dates were sent out from the Badger Region Policy Communication Email (policy@badgervolleyball.org). USOC Safesport Webinar Notes - #1 - Understanding the Facts

I just finished a webinar on child abuse sponsored by the USOC, it's the first in an ongoing series. Attached are my notes (for the blog, email jarmsondyer@badgervolleyball.org) for the notes to be re-emailed to you. This issue is NOT going to go away until we're all educated, so I encourage you to at least read through the notes. I understand it's not a comfortable topic, but we need to be proactive. 

There is another webinar on Tuesday that I encourage all of you to attend if you can - it will feature Dr. Anna Salter, who I saw give a presentation in Louisville and it was disturbing and very very good and important to see why we need child protection policies in place. It's on Double Lives and how offenders fool us. All of the information is at the end of the document.

New Board Members

I wanted to let you know that there have been two new appointed members to the Badger Region Board of Directors, after a vacancy from the last election with BJ Bryant from WVA moving to the Executive Board into the Secretary position from his at-large position, and Dave Schmidlin (Metro Milwaukee) resigning due to a relocation for a new job.

4) I know that many of you are non-profits and many more are looking into it. File this email away for the summer when you have more time to delve into it (I'm not dumb, I get it), but keep in the back of your mind these non-profit seminars and resources from Wegner CPAs, many are free and they're fantastic. At least get on their mailing list. Colleen and I attended a social media seminar that was great and there are many more applicable topics. I am about to start a grad classes in non-profit management and the Badger Region Board and office are currently working with the Helen Bader Institute For Non-Profit Management at UW-Milwaukee, so be on the lookout for more non-profity emails in the coming months. Badger Region Championships Update



The 2013 Badger Region Championships look to be our largest event ever. That being said, we still have room and we hope that if you are not already entered that you will rush right over to AES   https://advancedeventsystems.com/Splash.aspx   as registration closes on February 13 for both the March 16/17 and April 6/7 dates.


**For those teams that are entered and have not yet sent in their entry fees, we would also appreciate you taking the time to get this done. 

If you are entered, please make sure to import your team roster into AES from Webpoint using the USAV Data Import tab (you will need your 5 digit club code). If your roster is not entered into AES, your players names will not be put on the Championships Event T-shirt. You may not feel as though this is a big deal, however the players and parents do (we can unfortunately confirm this..). 

Please, also make sure to keep your team results updated as this will help us in the seeding of the events. As you can imagine, this is no easy task.

Stadick Named Program Director

Deb's primary areas of focus right now are boys, adults and beach but she will also be working on community outreach, sitting, youth and coaching education, among other things that we all come up with to help us all grow the game.

These will be needed to enter results on AES.
This file will be updated (and date indicated) when new team fees are received. As of 4pm today, these are all of the team fees we have gotten in the office. We will update the file prior to next weekend, so if you have not yet paid your team fees, please get them in before next Friday to make next weekend's cut.

Ref/SK reporting form, age waiver confirmati​on, other info

- The verification form for when you had your club ref/scorekeeper training clinic is online here: http://badgervolleyball.org/risk-verification-form.php (and also on the handbooks and forms page under club director forms)
*** THIS IS MANDATORY for both the training and the reporting. Failure to do either will result in sanctions. This training and reporting must be completed prior to your first competition so that your team knows its duties. Information can be found in the junior club director handbook.
- Anyone who has submitted an age waiver without problems (you've been contacted if there are problems) prior to yesterday, your player has been placed on the roster. The confirmed form will be sent to you via email, there's just a large stack of them.
- A reminder that your team fees need to be paid prior to competition. The form can be found on the handbooks and forms page. Information is in the Junior Club Director handbook.
- The region office will be closed after end of business today until Jan. 2. We will have access to email during this time.

Some Info / Reminders

A couple of quick things:
- A big thank you to Terry Paulson and the folks at AES, along with the tournament directors, for their work on getting the online tournament registration up and running for this year. We've heard good feedback from many club directors on this process already.
- PLEASE take some time to go through the Junior Club Director handbook. Even if you're experienced in running a club, it's a good refresher. Many many questions we get are answered by the handbook. - A reminder that while we love you all and want to help you in as many ways as we can, we can't do everything ASAP as many of you ask us to do. We know you're busy and ask you to realize that we are as well, and will get your emails/requests/information handled as quickly as we can. Things that aren't time sensitive will likely get pushed a bit. Thank you for your consideration in this. At last count we have 129 clubs registered with Badger Region this year, up about 15-20 from last year, so we welcome and thank you!

We do not have any plans for adding additional clinics for the remainder of 2012. If need be, we may add an Impact Only Class in January.

POLICY: Ref/SK clinic, age waivers

Club Directors-

Please see below for one NEW policy (ref/sk clinic attendance), and a clarification to a policy that has been asked many times (age waivers), I want to make sure we're all on the same page with this.
 

1) Club-Hosted Referee/Scorer Training Clinic Attendance To Teach Your Club


For the 2012-13 season, the in-person attendance requirement for a returning (NON-FIRST YEAR) club representative at a referee/scorekeeper clinic is optional. Club programs are still REQUIRED to teach players and coaches’ proper procedures and report the completion of the training to the Badger Region office (online reporting form will be sent out at a later date). Club programs may continue to request that a certified clinician provide a ref/score clinic for their club members (please contact Jim Momsen at BadgerRefChair@yahoo.com for this option).

 

The policy will be revisited for the 2013-14 season as rules are updated and new multimedia training options become available. We strongly encourage the use of http://www.volleyballreftraining.com/training_materials_junior.php for teaching materials, including videos and information on junior referee and scorekeeper training.

 
Policy Rationale:
It was requested by several club directors that this ref/score training option be considered. It would eliminate requiring an experienced club representative to attend a clinic when rules haven’t changed. Further, it is an essential requirement that all clubs be held responsible for training their players and coaches to properly apply the procedures and techniques for refereeing and scorekeeping.

 
Note: For the 2012-2013 season, USAV is allowing the libero to serve in all of its sanctioned events, including Qualifiers/Jr. Nat. Championships. Tracking the libero’s service position and which points were scored when the libero served is done the same way as last season as the Badger Region approved the libero service rule adaptation the season prior.

2) Age Waiver Policy for Junior Players

This policy has been discussed at the last two junior club director meetings, yet we are still getting questions on the age waiver policy.

Age Waivers


A waiver may be granted by Badger Region for a player to play in a lower division in regional tournaments only IF the age waiver would allow a player to be on a team with their peers of the same grade. No consideration will be given to ability or stature of the player.

 
REMOVED FROM THE OLD RULE: AND the Club requesting the waiver does not have a team at the age level of the player requesting the waiver.

 
MEANING: A player may play down with their grade even if you have a level they're supposed to play at based on their birthday.

 
The procedure to request an age waiver is as follows:

- The Club Director must submit an Age Waiver Request Form to the region office (found on the forms page of the website). This form must be completely filled out, clearly stating the reason for the request. A copy of the player’s birth certificate, proof of grade in school and the team’s (projected) tournament schedule must be attached.

If granted, a copy of the approved Age Waiver Request Form will be returned to the Club Director. A copy should be given to the player’s coach and available if requested by a Tournament Director. Age waivers are granted for in-region, non-qualifying tournaments ONLY. If playing out of region, it is the responsibility of the club to check to see if this player will be allowed to play, and up to the discretion of the tournament director to accept or deny.

 
*Please do not have the parents send these in, and PLEASE fill out all of the fields. If you leave out uniform name or team name, it will be returned to you to complete before processing, delaying the approval.

1) I have set up a Policy Communication email - policy@badgervolleyball.org - please allow this email address through your email filters if you have them. This is the official address that any new or changed policy communications will come through. IT IS IMPORANT THAT YOU READ THESE EMAILS. Yes, all of our emails are important, but these are very important and should be read as promptly as possible. 2) Myself and BJ LeRoy (NE rep) will be visiting the operations of THS next Tuesday and Wednesday. If you have questions/comments/concerns/customer service issues involving THS, please get BJ or myself this information by Monday. This is not a philosophical discussion of the Stay and Play policy - this deals with the vendor who sets up and manages that policy (Tournament Housing Services) and they job they do providing this service.

Membership clarification

Even though I talked about this at the meeting, we are still getting a lot of questions about this. Memberships from 2011-12 are good until Oct. 31, 2012. That means that anyone who has a membership from last season is still covered by that membership until Oct. 31 - this includes tune-ups and tryouts for the 14 and unders.
14 and unders can get the $10 tryout membership if they so choose, and then upgrade for $37 to the full membership. Or they can wait until Nov. 1 and purchase a full membership for $47. Either way, the cost is the same - they're not paying more if they override their current membership and then upgrade - it's all still $47.
This is the same as it's been in past years for tuneups - nothing has changed. But there are some clubs telling people they need 2013 memberships for October tryouts, and this isn't the case if a membership is already in place.

Badger Region 2012 Fall Junior Club Director Meeting-Se​ptember 16 - Materials

For your reading enjoyment:
I have attached the agenda and supporting materials for the upcoming Junior Club Director meeting on Sunday, September 16 at Center Court Sports Complex (815 Northview Rd, Waukesha)-Banquet Hall. (Contact the office for these materials if you're reading this on the blog.)

Beginning at 8:30 am our vendors (KM Sports, Burghardts Sporting Goods, Mizuno USA & Quality Resource) will be set up with samples and ready for your questions in the Banquet Hall--Bar area. Their products will be available for viewing until 1:30 pm.

The Tournament Director & New Junior Club Director Meetings will both begin at 9:30 am sharp.
Check-in beginning at 8:30 am in the Banquet Hall. There will be coffee and water offered but no food at this time.
**Tourney Director Meeting will be in the Banquet Hall & the New Directors Meeting will be in the Concession area on the south side of the building.

The General Junior Club Director Meeting will begin at 11:00 am sharp.
Check-in will begin at 10:00 am in the Banquet Hall.

There are still some Club Directors that have not returned the attendance form for the meeting. If you have not returned it, I will be sending an additional email to you with the link one more time. If you do not receive the link from me then I have already received your attendance form from you. If I do not receive it back I will have to assume that you will not be attending.

A Few Quick Things

A couple of quick things:
- Membership registration on Webpoint for the 2012-13 season opens tomorrow. Previous members will get an automated email with a link, their username and how to get their password if they forgot. Memberships technically go until Oct. 31, 2012, but this is just open as a convenience for those who want to register early. I just wanted to give you a heads up.
- All of the registration information has been updated on the website, under 2012-13 Registration. Please update the links on your website accordingly if they don't just direct to our main page. And if you don't have a website, please think about creating a free one at a site like http://www.eteamz.com/
- Attached is a jpg of the USAV age definition chart, for your use on websites and/or publications, flyers, etc. The full listing (I'm better with charts than the words!) is available on the forms page of the website: http://badgervolleyball.org/forms.php - blog readers, let Jen know if you would like this emailed to you - jarmsondyer@badgervolleyball.org.
- Certificates of insurance are now available for issuance. Please fill out the form on the website (same as above) (or re-send the one from last year) with the same information regarding facilities. Please allow enough time for processing.

IMPORTANT - Concussion information and permission sheets

Please read through this IMPORTANT email regarding a new law that was just passed in Wisconsin regarding concussion information and permission sheets. This is especially important for those of you who are still running or participating in events as this law is now in effect.

I will be working on how to easily get this information out to the necessary parties - most likely linked through Webpoint like the medical forms. ALSO - TDs please be aware that this law also applies to out-of-state participants and we will be looking to include that language in the TD handbook as we delve into the specifics of it.

The Wisconsin DPI has published the Sideline to Safety (concussion law) guidelines for youth athletic organizations.  With the publication of the guidelines, the law is now implemented.

Wisconsin Concussion Law Act 172 - Statute 118.293
Summary
The law requires all youth athletic organizations to educate coaches, athletes and parents on the risks of concussions and head injuries and prohibits participation in a youth activity until the athlete and parent or guardian has returned a signed agreement sheet indicating they have reviewed the concussion and head injury informational materials. The law requires immediate removal of an individual from a youth athletic activity if symptoms indicate a possible concussion has been sustained. A person who has been removed from a youth athletic activity because of a determined or suspected concussion or head injury, may not participate again until he or she is evaluated by a health care provider and receives written clearance from the health care provider to return to the activity.

“At the beginning of a season for a youth athletic activity, the person operating the youth athletic activity shall distribute a concussion and head injury information sheet to each person who will be coaching that youth athletic activity and to each person who wishes to participate in that youth athletic activity. No person may participate in a youth athletic activity unless the person returns the information sheet signed by the person and, if he or she is under the age of 19, by his or her parent or guardian.”

We have provided a page of questions and answers as well on the WIAA web site.  As we receive questions, we will continue to update that page.  The law does not require or even reference school districts (or youth athletic activity organizers) need to complete baseline (ImPACT) testing. ImPACT is a tool which your physician or trainers may recommend, but it is not a requirement by the law.

While coaches education is a best practice and suggested additional training for coaches should be considered by the school administration. It is highly recommended and it is free at the CDC web site or at https://www.NFHSLearn.com.

We would urge you to provide the information to your community’s youth athletic organizations.  Please inform them that our information is available for FREE and they may use it to conform to the Sideline to Safety law.

Coaches Clinics - June 9-10

Club Directors-

I'm happy to announce that we'll be hosting two low-cost coaches clinics on June 9-10! June 9 will be at the WVA Facility in Appleton and June 10 will be in the Dells - these will be separate clinics with the same format. The details are still being worked out, but the format will be as follows:

Morning (9am-noon): Focusing on the younger ages (12s-14s)
Afternoon (1-4pm): Focusing on the older ages (15s-18s)

Registration will be done via Webpoint. The cost will be $25 for one of the sessions or $40 for the entire day.

The lead clinician will be Salima (Davidson) Rockwell, former USA National team setter, Penn State assistant and current assistant at Texas who also has coached young teams for Austin Juniors and runs the Texas camps. She is working on securing an additional clinician who has experience coaching at both the older and younger age levels as well.

Like I said, the details are still being worked out and once confirmed I will send out more information, I just wanted to get this preliminary email out so that you can alert your coaches and get it on calendars since I know they fill up fast! Please pass it along!!

For those interested in the Dells clinic, we will also have a hotel deal/package in place so please stay tuned for that information as well!

May Junior Club Director Meeting

Good Afternoon Junior Club Directors~
Hope you all enjoyed your holiday weekend. There are probably some of you that are still enjoying a vacation week......we are extremely jealous.

As you all know, we will be having our Spring Junior Club Directors Meeting on Saturday, May 5th in Fond du lac. You are required to either be present yourself or get a representative from your club to this meeting. The meeting will begin at 10:00 am and finish up at 2:00 pm. A social for all that would like to stay will be offered afterwards.

Meeting Location Announced:
Converted Sentry building (Sentry sign still visable) at 311 Winnebago Dr. Fond du lac, WI. The social afterwards will be at the Eagles Club (1.5 blocks away).

We are currently accepting agenda ideas. You can reply directly back to Colleen with those at colleen@badgervolleyball.org.

We would also like you to register online for the meeting via Webpoint. It really is amazing how many ways that Webpoint can be used.

There is no charge for this meeting so the fee will show as $0.00.
